AI (artificial intelligence) is taking the entire technology sector by storm. And all SaaS vendors are adding AI functionality to their product offerings to stay competitive, as FOMO (Fear of Missing Out) syndrome takes hold.
The same is happening in the SaaS industry; smart tools can help your sales and marketing team make better and faster decisions, plan, and craft a better customer service approach. As a SaaS CEO, CSO, or CMO, these solutions will open a whole new set of opportunities for growth, oversight, and measurement that can help you be a more prepared and better-informed leader.
Let’s outline the practical AI applications in the SaaS sales and marketing process and look at some practical tips for the SaaS community. I have grouped these solutions by use cases and shared my own experiences as a guide.
- Lead Scoring: Using historical data and predictive analytics, AI algorithms can prioritize leads based on their likelihood to convert. Of course, it all starts with lead scoring and distribution rules, which you can set in your CRM. AI tools like forward.ai can add historical analysis to make it precise.
- Chatbots for Customer Service and Pre-Sales: AI-powered chatbots provide 24/7 customer support, handling inquiries and resolving simple issues without human intervention. You can also handle your site visitors’ conversations, guide them on your product features, and set up qualification calls. I have had a great experience with DRIFT and Hubspot chatbots.
- Sales Forecasting and Analytics: AI can analyze current sales data and historical trends to forecast future sales, helping teams set realistic targets and plan accordingly. Many CRMs are adding AI functionality to their platform. SalesForce still has the most advanced one, but I like InsightSquared and easier solutions like Scratchpad.
- Dynamic Pricing Optimization: AI models can adjust prices dynamically based on demand, competition, market conditions, and customer profiles. This is a “must-have” category for all modern online retailers, and tools like Reactev make it a breeze.
- Email Marketing Optimization: AI tools can optimize email campaigns by personalizing messages, subject lines, and sending times for each recipient. That’s standard in modern social and email marketing. Tools like Outreach, AmpleMarket, and MeetAlfred can make your business development activities efficient and predictable.
- Sales Call Analysis: AI can analyze sales calls to provide feedback on sales strategies, customer sentiment, and overall performance.Tools like GONG are game changers and will allow you to check your team’s sales call quality daily. AI functionality can also make call transcripts and summaries for you and even can share its recommendations on next steps.
- Automated Data Entry and Document Processing: AI can automate data entry into CRM systems, reducing manual errors and saving time. Tools like Base64 can recognize thousands of document types, and you can add them to your CRM or ERP with quick tools like Zapier or more sophisticated robotic process automation.
- Voice-to-Text for Meeting Notes: AI can transcribe sales meetings and calls, providing searchable, organized text that helps sales teams keep track of details and follow-ups. I use tools like Otter daily to summarize my calls, share transcripts, and keep accurate deal development records.
- Procurement, RFP Management, and SaaS Contract Renewals: All SaaS vendors selling to enterprise-size customers have to deal with multiple RFPs. Unfortunately, it’s a time-consuming and unpredictable process. Tools like Vendr save SaaS vendors time, optimize the RFP process, and help negotiate a better deal for the customers by doing pricing analysis over competition.
- Account-Based Marketing (ABM): AI can tailor marketing efforts to specific high-value accounts, optimizing marketing resources and increasing conversion rates. What ABM solutions do is apply your ideal customer profile (ICP) to smart search tools (LinkedIn + 3rd party databases), build your target list, and apply a variety of triggered events to content-based conversational marketing tactics. I can recommend 6Sense as the most comprehensive solution (expensive and no trial) and rb2b as a great starting point to automate your website visitors’ campaign.
- Enhanced CRM: AI enhances CRM systems with capabilities like predictive analytics, automated updates, and intelligent follow-up reminders. We are still in the early days, with basic AI suggestions primarily focused on team capacity and pipeline coverage. It’s a great start. All major CRMs like SalesForce Einstein Copilot and Hubspot have some AI-based analytics components today.
- AI auto-dialer tools: Power-dialer solutions can supercharge your telemarketing (biz dev) team productivity. Modern AI-based auto-dialers can run up to 15 lines simultaneously, automate your voice messages, create your dial hit map, and recommend the best call time slots. Your team will spend 100% of their time talking to your prospects instead of executing dial attempts. All calls are recorded and transcribed in real-time and logged using your CRM. Try Orum and Kixie for the best experience.
- Video Prospecting Tools: I am a big fan of “sales video” prospecting. Short videos (under 2.5 min) sell well, so video prospecting tools can help you share them and track consumption. I also love the personal selling approach, where you can share a quick video message with your customers and prospects. Vidyard is a very powerful tool, but expensive and enterprise-focused. You can find cheaper alternatives that are more affordable for SMBs like BombBomb and HippoVideo.
- Content Marketing (email, video, social) Automation: Want to promote your solution? You need great relevant (to your ICP) content. Want to save time and build high-quality videos (webinars/podcasts), and turn them into quick social video posts? Tools like ConvertKit and Kajabi will do all the hard work for you without relying on a marketing agency.
- Prospects Database and Target List Creation: Some tools can give you more insights on your potential target customers than LinkedIn Sales Navigator. But LinkedIn will not bring you far beyond your target list of LinkedIn account addresses. You can still get contact details, org charts, and company technology footprints to zero in on your “true” prospects list. Then, all you need to do is execute. Tools like Clearbit and ZoomInfo are bumping AI functionality daily to give you more insights into your target audience. They are well integrated with prospecting tools.
- Behavioral Prediction for Proactive Engagement: AI can help predict future actions by understanding individual customer behavior patterns, enabling proactive engagement strategies. With PathMonk, you can make better customer engagement decisions for your website visitors' audience.
- Training and Sales Enablement: AI-driven programs can provide personalized training and onboarding for new sales staff based on their learning pace and style, improving their productivity faster. I am not talking about traditional learning management systems (all of them use AI search today as a minimum). Advanced sales enablement tools like HighSpot can give you more valuable insights into your team readiness and materials consumption.
- Product Management feedback: Modern AI tools can connect to your customer support systems and provide customer feature feedback functionality. They can simplify product management tasks on feature prioritization. The same tools (like Canny) can also help with customer satisfaction communications.
- Customer Journey Mapping: AI can track and analyze the buyers journey, providing insights into customer behaviors and pinpointing areas for improvement. Easy-to-use tools like TheyDo can cut your customer journey map-building time by 85%. With tools like Braze, you can create your customer engagement map and turn it into actionable campaigns right away.
- Churn Prevention: AI tools can analyze customer activity and feedback to identify signs of dissatisfaction or disengagement, triggering interventions to prevent churn. Try ChurnZero to automate your renewal and up-sell insights, leaving no customer behind.
